Event Signage Checklist: What to Print Before Your Event Date
Event print is easy to underestimate until a week before the date, when it becomes clear how many separate items actually need organising. Here's a practical checklist to work through early rather than last minute.
Before guests arrive
- Entrance and welcome signage — the first thing guests see, worth getting right for first impressions.
- Directional signage — for a larger venue or multi-room event, signs guiding guests to registration, seating or facilities save real confusion on the day.
- Registration or entry materials — tickets, wristbands or a guest list display, depending on how entry is managed.
During the event
- Name badges and lanyards — for anything with networking or identification needs, consistent, legible badges matter more than elaborate ones.
- Table and seating signage — table numbers, place cards or a seating plan for a seated event.
- Banners and backdrops — for branding, photo opportunities, or sponsor recognition.
Easy to forget, but worth planning
Spare copies of anything printed in limited quantity (a name badge gets lost, a sign gets damaged in transit), a program or agenda if the event has a schedule guests need to follow, and any takeaway print such as a thank-you card or follow-up material for after the event.
Planning your timeline
Work backward from your event date: confirm final numbers and wording at least two weeks out where possible, since badges and signage with specific names or numbers usually can't be finalised until attendee details are confirmed.
