Start with what visitors will actually see first

Most exhibition visitors decide whether to stop at a stand within a few seconds, based on what's visible from the aisle. A tall, clear roller banner or backdrop with your name and what you do, readable from a distance, matters more than anything on the table itself, since it's what draws someone over before they ever get close enough to read anything smaller.

Roller banners and backdrops

A roller banner is the most common stand centrepiece, portable, quick to set up and take down, and tall enough to be seen across a busy hall. Keep the design bold and simple, since it will be read from several metres away, not close up, and resist the temptation to list every service you offer when one clear headline would work harder.

Table and counter branding

Once someone stops at your stand, a branded table cover or counter card reinforces the same messaging up close, where there's room for slightly more detail, pricing, or a call to action, than the banner allows. This is also where a QR code linking to your website or a sign-up form does more work than it would on the main banner, since people close enough to scan it have already shown genuine interest rather than just glancing from across the aisle.

Take-away print

Business cards and flyers give visitors something to take away and follow up on later, when the immediate conversation is forgotten. Keep a stock of both on the stand at all times, running out partway through a busy day is a common and avoidable mistake.

Lighting and stand position

Exhibition hall lighting varies a lot, and a stand near a bright overhead light or a window can wash out a banner that looked fine printed under normal office lighting. If you know your stand position in advance, it's worth considering slightly bolder contrast than you might use elsewhere, since it holds up better under harsh or uneven lighting than a subtle design.
